NOA Privacy Policy

The Norfolk Ornithologists’ Association (NOA) is committed to protecting your privacy and security. This policy explains how and why we use your personal data.

DATA WE COLLECT
We collect data you provide to us. This is information you give when joining as a member, buying a lottery or raffle ticket, or making a donation, and may include items such as personal details (name, email, address, telephone etc.), method of payment (whether payment is made by cheque, cash, credit/debit card or standing order), and whether donations are Gift-Aided.

If you join the NOA 200 Club lottery or purchase tickets in the Grand Draw raffle, we additionally ask you to confirm that, at date of joining/purchasing, you are at least 16 years of age.

If you purchase NOA or 200 Club membership as a gift for someone, your details will be recorded (as will the recipient’s).

If you join as a volunteer, we may additionally record emergency contact details, your date of birth and details of any relevant qualifications or health conditions.

USING THE DATA
We use the information which you provide for administrative purposes, such as membership renewal, Gift Aid claims, notification and despatch of prizes for the lottery and raffle, and the despatch of quarterly Newsletters and the Annual Report. While the Newsletter and Annual Report packs may include general advertising and fundraising requests, we do not contact members individually about fundraising, nor do we share your details with any other organisation.

We have procedures in place to safeguard your data, whether on paper or stored electronically, and review these procedures at least annually. Information which is stored electronically is held on password-protected computers in password-protected files and is backed up to secure online storage using well-established software designed for the purpose. Once information is no longer required it is deleted from our systems, or physically destroyed in the case of paper records.
